You didn't get licensed to chase initials.
The average residential file carries 40–60 date-driven tasks across seven parties. Miss one and you're renegotiating, extending, or explaining yourself to compliance.
12–15 hours per file
That's what agents lose to coordination on a single residential transaction — time that isn't spent on listings or clients.
One missed date cascades
A blown inspection deadline moves financing, appraisal, walkthrough and funding. The whole file slips.
48 states, 48 rulebooks
Attorney review in New Jersey. Option period in Texas. Due diligence period in Georgia. The forms and the clocks are not the same.
AI does the reading. A human does the judging.
Most services sell you one or the other. Cheap AI with nobody accountable, or a human coordinator who can only hold so many files. We run both, in sequence, on every transaction.
Send us the executed contract
Forward the PDF, or connect your Gmail, Dotloop, SkySlope or Open To Close account and we pull it automatically.
AI extracts and builds the file
Parties, addresses, dates, financing terms and contingencies are parsed in minutes. A state-specific task list and calendar are generated from the actual contract — not a generic template.
Your coordinator verifies everything
A licensed human checks every extracted date against the document, catches what AI flagged as ambiguous, and owns the file from there.
We drive it to the closing table
Introductions, inspection scheduling, lender and title follow-up, disclosure delivery, compliance submission, and a weekly summary so you always know where the deal stands.

Why both layers? AI is faster and more consistent at extraction than any human. It is also confidently wrong sometimes. A coordinator who verifies extraction is far quicker than one who does the extraction — that’s where the time savings actually come from.

A transaction coordinator manages the administrative side of a real estate deal from executed contract to closing — tracking deadlines, collecting and distributing documents, scheduling inspections and appraisals, coordinating lender and title, and submitting the completed file for broker compliance. A coordinator does not negotiate terms or give licensed advice.
Your data stays yours
Documents are processed for your transaction only. We do not sell, share or train public models on your files.

A coordinator who knows your state's contract.
Texas runs on TREC forms and an option period. New Jersey has attorney review. Georgia has a due diligence period. We keep a state-specific checklist for every one of them.

Questions agents ask before they switch
How much does a transaction coordinator cost?
Nationally, transaction coordination runs roughly $300 to $800 per file, with most residential deals landing between $350 and $550. Complex files, dual-agency transactions and high-price-point markets sit at the upper end.
Simply Closed starts at $500 per side for contract-to-close, $350 per listing for listing coordination, and $350 per file for compliance-only review. You pay at closing, not up front. See full pricing.
Do you work in my state?
Yes. Simply Closed coordinates transactions in 48 states. We maintain a state-specific task list, form set and compliance checklist for each one — so a Texas file runs on TREC deadlines and a New Jersey file waits for attorney review to close before anything downstream is scheduled. Find your state.
Does a transaction coordinator need a real estate license?
It depends on the state and on what the coordinator does. Broadly, unlicensed coordinators may perform administrative and clerical work — tracking dates, collecting documents, scheduling, and data entry. Discussing contract terms, negotiating, soliciting clients or advising on the transaction generally requires a license.
Our coordinators work strictly within administrative scope, and our founder is licensed in Colorado and Texas. Confirm the specific rules with your state real estate commission and your broker. Read the state-by-state breakdown.
What's the difference between AI transaction coordination and a human TC?
AI is faster and more consistent at extraction; humans are better at judgment and accountability. AI reads a contract and builds a timeline in minutes with high accuracy, but it will not call a silent lender, decide what is worth escalating to you, or take responsibility when something goes sideways.
Simply Closed runs both: the ReBillion AI engine parses and builds, then a licensed coordinator verifies and owns the file. Full comparison here.
When do I pay?
At closing, in almost every case. We invoice through title or escrow so the fee comes out of your commission at funding rather than out of pocket at contract. Listing coordination can be paid at listing or at close. If a deal falls through before closing, most services carry no fee — we'll confirm the specifics on your discovery call.
How quickly do you pick up a new file?
AI parsing begins within minutes of receiving an executed contract. A human coordinator has verified the file and sent introductions to all parties within one business day — usually the same day if it arrives before mid-afternoon.
Can you work inside my existing CRM or transaction platform?
Yes. We work directly in Follow Up Boss, Open To Close, SkySlope, Dotloop, zipForms, Google Drive and Gmail. If your brokerage mandates a platform, we operate inside it.
What happens if a deadline is at risk?
You hear about it before it becomes a problem. The AI layer flags date conflicts and approaching deadlines automatically; your coordinator escalates anything that needs a decision from you by phone or text, not by burying it in a weekly summary.
