Contract-to-Close Transaction Coordination
You hand over an executed contract. We hand back a closed file with nothing left in your inbox.
Contract-to-close transaction coordination is the management of a real estate transaction from the moment the purchase agreement is fully executed until the file funds, records and clears broker compliance. The coordinator tracks every contractual deadline, introduces and manages all parties, collects and distributes documents, schedules inspections and appraisals, follows up with lender and title, and assembles the compliance file.
This is the service most agents start with. From the moment the contract is executed to the moment it funds, your file belongs to a coordinator — and to an AI engine that has already read every page of it.
Paid at closing through title or escrow. Final pricing depends on state, transaction type and volume.
Everything in this service
Contract parsed in minutes
The ReBillion AI engine extracts parties, addresses, purchase price, financing terms, contingencies and every date the contract creates — then builds a state-specific task list from what it actually found, not from a generic template.
Every date verified by a human
A coordinator checks each extracted date against the document before anything goes on a calendar. AI is fast; verification is what makes it safe.
All parties introduced within one business day
Buyer, seller, co-op agent, lender, title/escrow, attorney and inspector receive a single introduction email with the timeline, contacts and what happens next.
Deadline management, actively driven
Earnest money delivery, inspection period, repair negotiation window, appraisal, loan commitment, title objection, final walkthrough, funding. We chase them; you don't.
Lender and title follow-up
Standing check-ins with the loan officer and closer so silence gets surfaced early instead of on the day of funding.
Disclosure and document management
Collection, delivery, signature chase, execution tracking and distribution to every party who needs a copy.
Broker compliance file assembled and submitted
Audited against your brokerage's checklist, submitted, and chased until it clears — not dropped in a folder.
Weekly written status update
One clear summary per file per week, plus immediate escalation by phone or text on anything that needs your decision.
What happens, and when
Every file runs the same sequence. The dates come from your contract and your state — the sequence does not change.
| When | What happens |
|---|---|
| Day 0 | Executed contract received AI parsing begins immediately; coordinator assigned |
| Day 0–1 | File verified and opened Dates confirmed, task list live, calendar built, introductions sent |
| Day 1–3 | Earnest money & disclosures Receipt confirmed, disclosure package delivered and tracked |
| Inspection window | Inspection coordination Scheduling, report distribution, repair request tracking, resolution deadline managed |
| Financing window | Appraisal & loan Appraisal ordered and tracked, conditions monitored, loan commitment date enforced |
| Final 10 days | Clear to close Title curative, HOA documents, utilities, walkthrough scheduling, closing disclosure review window |
| Closing | Funding & recording Signing coordinated, funding confirmed, recording verified |
| Post-close | Compliance File audited, submitted to your broker, cleared, and archived to your drive |
What a coordinator does not do
Coordination is administrative work. These stay with you or your broker:
- Negotiate contract terms or price on your behalf
- Give legal, tax or licensed real estate advice
- Solicit business or represent you to clients as your agent
- Sign documents on your behalf
Available in 48 states
Each state gets its own task list, form set and compliance checklist. A Texas file runs on TREC deadlines; a New Jersey file waits for attorney review.
Contract to Close: your questions answered
What exactly does contract-to-close include?
Everything administrative between executed contract and cleared compliance file: timeline construction, party introductions, earnest money confirmation, disclosure delivery, inspection and appraisal coordination, lender and title follow-up, deadline enforcement, walkthrough and signing scheduling, funding confirmation, and broker compliance submission.
How much does contract-to-close coordination cost?
Simply Closed starts at $500 per transaction side. National market rates run roughly $300–$800 per file depending on state, price point and complexity. You pay at closing through title or escrow, not up front. See full pricing.
What if the deal falls apart?
In most cases there is no fee on a transaction that does not close. If a file dies late — after substantial coordination work — we will discuss it with you rather than invoice by surprise. The specifics are confirmed on your discovery call.
Do you talk directly to my clients?
Yes, with your approval, and strictly within administrative scope. We handle scheduling, document requests and timeline updates. Anything touching terms, price, negotiation or advice comes straight back to you.
How many files can you take at once?
There is no minimum and no cap. Because the AI layer removes the extraction work, each coordinator carries two to three times the file load of a manual TC without stretching response times.
Which states do you cover?
48 states, each with its own task list and compliance checklist. Find your state.
