What is a real estate transaction coordinator?
A transaction coordinator (TC) manages the administrative side of a real estate transaction from executed contract to closing. That includes tracking every contractual deadline, collecting and distributing documents, chasing signatures, scheduling inspections and appraisals, coordinating with lender, title and escrow, delivering required disclosures, and assembling and submitting the file for broker compliance review. What does Simply Closed actually do on my file?
Everything between execution and cleared compliance. AI parses the contract within minutes; a coordinator verifies every date, introduces all parties within one business day, then actively drives earnest money, disclosures, inspection, repair negotiation, appraisal, loan commitment, title, HOA documents, walkthrough, signing and funding — then audits and submits the compliance file.
Do you work with buyers' agents, listing agents, or both?
Both, plus dual agency and intermediary transactions where you represent both sides.
Do you handle new construction, land or leases?
Yes. New construction runs a different sequence (builder contracts, milestone draws, long timelines) and we track it accordingly. Land and lease transactions are quoted individually because the document sets vary a lot.
Will you talk to my clients directly?
With your approval, yes — for scheduling, document requests and timeline updates. Anything touching terms, price, negotiation or advice comes back to you.

Does a transaction coordinator need a real estate license?
It depends on the state and on the work performed. Broadly, unlicensed coordinators may do administrative and clerical work — tracking dates, collecting documents, scheduling, data entry. Discussing contract terms, negotiating, soliciting business or advising on the transaction generally requires a license. Our coordinators work strictly within administrative scope. How do you keep up with 50 different state contracts?
Two layers. The ReBillion engine carries state-specific compliance logic for Arizona, California, Colorado, Florida, Georgia, Illinois, Minnesota, New York, Pennsylvania and Texas. Every other state runs on a coordinator checklist we maintain against the state's form set and commission rules. Coordinators are assigned by state familiarity, not round-robin.
Do you follow my brokerage's compliance checklist?
Yes — yours, not a generic one. We load your brokerage's required document list during onboarding and audit against it every time.
Can you work in my brokerage's mandated platform?
Yes: SkySlope, Dotloop, zipForms, Paperless Pipeline, Open To Close, Lone Wolf and most proprietary brokerage portals.
Pricing & payment
How much does a transaction coordinator cost?
Nationally, roughly $300–$800 per file, with most standard residential transactions between $350 and $550. Simply Closed starts at $500 per side for contract-to-close, $350 per listing, and $350 per file for compliance-only review. Full rate card.
When do I pay?
At closing, in almost every case. We invoice through title or escrow so the fee comes out of the transaction at funding rather than out of pocket at contract.
What happens if my deal falls through?
In most cases there is no fee on a transaction that doesn't close. Listing work already performed may be billable if a listing is withdrawn, and we'll always discuss it before invoicing.
Is there a contract, retainer or minimum volume?
None of the three. Pay per file, cancel any time, no term.
Do you offer volume or team discounts?
Yes. Consistent volume moves you onto tiered pricing; teams and brokerages get rates modelled against actual file counts. Brokerage pricing.
AI & technology
What does the AI actually do?
It reads the executed contract and every addendum, extracts parties, terms, financing and all dates — including dates the contract calculates rather than states — builds a state-specific task list and calendar from what it found, and flags missing signatures, blank required fields and dates that don't reconcile. What if the AI extracts something incorrectly?
A human catches it. Every extracted date is verified against the source document by a coordinator before it drives anything. That verification step is the reason this model is safe to use.
Is my client data used to train AI models?
No. Documents are processed to run your transaction. We don't sell your data, share it outside the transaction, or contribute it to public model training.
Do I have to learn new software?
No. The technology sits behind the service. You keep working the way you work now — nothing to install, no seat licence, no training.
Is AI transaction coordination cheaper than a human TC?
